Role Overview
Reporting through the Director of Supply Chain Fulfillment, this position works directly with this Director to oversee the day-to-day activities of NYC, the largest school district in the U.S. These activities include working closely with NYC counterparts and the Great Minds internal teams for: program start-up activities; ordering process for Great Mind’s products; returns process; routine and exception reporting. This job will expand from NYC focus to other Operational projects.

Specific Responsibilities:

New York City Department Project Management

  • Monitor and manage the order process related to NYC- Department of Education (DOE) including:
    • Monitor the labeling process with fulfillment centers required by NYC-DOE
    • Monitor and report on order tracking and delivery process
    • Work with various departments to manage
      • Inventory and backorders
      • Invoicing and Customer Service


  • Report on status and maintain daily/weekly scorecard
  • Understand the Purchase Order validation process
  • Perform audits to ensure orders are progressing through the workflow
  • Identify and document occurrences that deviate from defined procedures
  • Analyze processes and continually make improvements to ensure accuracy and efficiency
  • Support strong working relationships with our vendors and customers
  • Develop strong working relationship with NYC DOE counterparts
  • Monitor and execute key SOPs within areas of responsibility
  • Other duties as assigned


  • Logistics, Order Management and Inventory Support

    • Manage and report out on daily exception reports
    • Oversee large order management process including case management, reporting, and troubleshooting
    • Input scorecard data
    • Manage “short in pool” inventory report
    • Other similar duties as needed


    Qualifications:

    • Bachelor’s degree and/or a minimum of 4 years’ experience in similar roles, ideally with NYC DOE and/or other large school system in a customer service/Operations type of role
    • Solid analytical and problem-solving skills 
    • Exceptionally strong written and verbal communication skills
    • High degree of confidence utilizing technology
    • Strong organizational and prioritization skills

    Preferred:

    • Experience with NYC Department of Education
    • Experience with Salesforce (CRM)
    • Experience with systems integration
    • Order management system experience
